Office Assistant JOB
Summary:
The Office Assistant will be responsible for performing a wide variety of clerical and office duties, including providing a high level of service and support to staff while consistently producing an excellent work performance at Haalo Innovations.
The Office Assistant will oversee various general office assignments where the processing of documents/recording and retrieving/allocating informational data is vital and substantial.
The Office Assistant must be dedicated and reliable in every aspect of their position.
The Office Assistant follows the directives of the Administrator and Director.
The Office Assistant reports to the Administrator or Director.
ESSENTIAL DUTIES AND
Responsibilities:
May include but are not limited to the following additional assignments, projects, and duties:
Must be able to perform administrative duties, including computer skills Microsoft, Excel, Spreadsheets, and PowerPoint.
Must be able to organize and keep track of computer software programs and files.
Must remain professional with HAALO's consumers, staff, consultants, and affiliates of HAALO, including verbal, written, phone, and email.
Must maintain documentation with all aspects of HAALO paperwork, filing and organizing files, and perform additional projects or assignments.
Ensure accuracy and detailed information is entered into the computer promptly, daily or as needed.
Must be able to follow through with monitoring and scheduling consumers' appointments, managing calendars, inventory, supplies, researching various tasks/materials, etc.
Analyze financial statements, data reports, and other performance indicators.
Manage general activities related to HAALO and assist with providing services.
Have excellent time management skills, written and verbal communications skills; able to multi-task, follow directions.
Professionally answer and redirect phone calls when necessary.
Provide general support to the Administrator and co-workers.
Supervise consumers when necessary.
Must comply with HAALO's policy when managing confidential information for Haalo Innovations, staff, and consumers.
Comply with CCL Regulations Title 22 and Regional Regulations Title 17 policy and procedures.
Understand and follow HAALO's policies and procedures in the event of an emergency.
Attend all mandatory meetings, including in-house staff meetings and required training.
Assist with managing consumer's inventory, records, IPP/ISP data.
Keep track of near expiration dates for HAALO's house inventory, staff personnel records, and consumers' documents:
including all other related items that are required.
QUALIFICATIONS AND SKILLS:
High School diploma/GED preferred.
Must type 45 WPM or more.
Must be knowledgeable about maintaining office bookkeeping.
Microsoft Computer Knowledge and skills (i.
e.
, Word doc.
, Excel, PowerPoint, etc.
).
Must be CPR and First Aid certified (within two months of hire).
The ability to work flexible hours:
weekdays & weekends A.

shifts.
Must be able to pay attention to details and have excellent problem-solving skills.
Must be at least 21 years of age or older.
Must be fingerprinted, pass DOJ/FBI background; able to maintain a background clearance.
Must pass health screening physical exam and TB clearance.
Must possess a valid California Class C Driver's License to operate the company's vehicle.
Must possess and maintain a clean 24-month driving record (no major traffic violations and not more than two minor traffic violations) to operate agency vehicles.
Must be able to pass drug and alcohol testing.
Must be able to lift, push, pull, and carry a minimum of 30 lbs.
; stand and sit for extended periods; bend at the waist and knees; kneel for extended periods.
Must possess the ability to exercise restraint and self-control in potentially volatile situations, including, but not limited to, being confronted verbally and physically in a threatening or aggressive manner by the people receiving support.
This also includes the ability to deal with and redirect aggressive behavior.
DESIRABLE
Qualifications:
An Associate Degree or higher from an accredited college or university with a major in Business Organizational Management, Human Resource or Educational Services; a Certificate as an Administrative Assistant or in a field related to Administration, Business, Management or Office Clerk.
An equivalent combination of education and experience is preferred.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
